Instructions for the administrator of the Elisa Palvelupäätelaitteet service

1. Log in to Corporate OmaElisa as administrator. (note: Only administrators can create device lists.)

2. If your customer account includes more than one company with different business IDs, a device selection must currently be created separately for each company. Select the company from the OmaElisa menu at the top right-hand corner.

3. The device selection is created under Company information -> List of Devices. Then select NEW DEVICE LIST.

4. Enter the required information for the device list:

a. Name describing the device list.

b. Select Product type: Devices charged monthly, Elisa Palvelupäätelaitteet devices (default value), devices with a one-off charge

c. Select the agreement period: 12 months, 24 months (default value), 36 months

d. Add the company's share of the device's monthly fee. The amount of the monthly fee that exceeds the company's share will be paid by the employee as an Oma Laitelasku fee. Note: If your company does not want to use Oma Laitelasku, do not fill in the Company's share of monthly fee for the device section. This way, all device costs will be directed to your company. Oma Laitelasku can only be used with Elisa Palvelupäätelaite devices.

e. Depending on what your company has decided, select Damage Cover Service and/or Device Registration Program as mandatory for device orders.

5. Then select NEXT.

6. Add devices and accessories to the device selection by ticking the selection box for each product. Note. When you add a device model to the device list, you must choose its colour from the colour options offered by Elisa. Elisa Palvelupäätelaite devices have fewer colour options than devices that can be purchased or have a monthly fee. Please also note that phones and accessories must be included in the same list because employees cannot add products from different lists to the same order

Then select CONTINUE.

7. You will get a summary view of the device list you have created, divided into categories. If you wish, you can edit the list, add or delete devices, or delete the entire list.

8. Remember to select default invoicing information (or create new invoicing information) for the device list before clicking ACTIVATE. Invoicing information can also be given specifically for each order.

5. Add devices and accessories to the device selection by ticking the selection box for each product. If you want to delete a device from the selection, untick the checkbox. Click Save.

6. The status of the device list will now be Modified. If the list is ready for release, click to open it and select Activate. The status of the list will change to Active, and it will be immediately available to users. All changes will apply to orders made after the release.

You can edit the device list information, for example, if you wish to change the company's share of payments for EPP devices. Note: The changes do not apply to devices that have already been ordered.

1. Log in to Corporate OmaElisa as administrator.

2. The device lists are available under Company information -> List of devices.

3. Select the device list that needs to be edited.

4. Select Edit data.

5. Make the changes to the device list information.

6. Select SAVE.

7. The status of the device list will now be Modified. If the list is ready for release, click to open it and select Activate. The status of the list will change to Active, and it will be immediately available to users. All changes will apply to orders made after the release.

You can copy an existing device list for internal company use or, for example, for the use of a subsidiary.

1. Select the device list you want and click Copy. Remember to also select the company whose account the list will be saved to.

2. The copy will appear on the device list view as a Draft, which you can edit and then save and publish.

1. Log in to Corporate OmaElisa as administrator.

2. Device lists are available under Company information -> List of devices.

3. Select the device list that needs to be edited.

4. Select Delete device list.

The device list view includes three statuses: Draft, Modified and Active.

The status will be Draft if you create a new list from scratch and then save it as a draft. The draft is not visible in Employee OmaElisa until you publish it.

If you edit an existing device list and save it without publishing it, its status becomes Modified. An edited list is not visible in Employee OmaElisa before it is released. You can also copy an existing device list and use it as a template for a new list. When the list is done, you can release it as it is or as replacement for a previous list. Remember to also delete the list you are replacing. Note. The status of a copied list is always initially draft.

The status of a device list is Active if it has been released in Employee OmaElisa for the use of employees.

One device list is usually enough, but if a company wants to order devices with different agreement periods for its employees, a separate list must be created for each agreement period.

• For example, if a company wishes to offer devices of a lower price to some of its employees and slightly more expensive devices to other employees, separate device lists can be created for these. Each employee must then be informed of the list they can order devices from.
• Separate lists can also be created for, for example, phones and PC devices, especially if the agreement periods for the phones and PC devices are different. For example, the agreement period for mobile phones may be 24 months, while PC devices have a 36-month agreement period.

An order made by an employee must always be approved. The employee selects the person to approve the order while making the order. It is not possible to specify an employee-specific approver (such as the employee's supervisor). Note. The approver must use the same business ID as the employee in order to appear on the employee's list of Approvers.

See the illustrative instructions below on the approval of device orders. At the same time, the person approving the order can edit the cost centre, the personal identity number and the invoicing agreement.

• The company's administrator can order an EPP device on behalf of an employee when logged into Corporate OmaElisa.
• The administrator’s selection is larger than the device selection created for the company.
• An Oma Laitelasku invoice cannot be ordered for a device ordered on someone else's behalf, which means that if the price of the selected device exceeds the Oma Laitelasku limit set by the company, the company will pay for the device in full. Oma Laitelasku must always be created by the employees themselves, because they use strong identification and their personal credit details are checked.

• The user receives a notification by email two weeks before the agreement period expires. After this, the user can order a new device via Employee OmaElisa (if the company is using it).
• When ordering a new device through Employee OmaElisa, the employee determines whether they will purchase the old device or return it. The employee can see the purchase price (with tax) in the interface and completes the order.
• The approver selected by the employee must approve the replacement and the potential redemption individually. Depending on the approver's user rights, this happens either through the administrator portal or through Employee OmaElisa.
• If the employee chooses not to purchase or return the old device, the new device will be delivered to be used alongside the old one. At the end of the agreement period, the old device will normally be given an extension period. If the old device is not returned or purchased during the extension period (6 months), its ownership will transfer to the company. The administrator can monitor devices that have been given extension periods in the Elisa Palvelupäätelaite report, which is located is the Personal and company Information section.   

As an administrator, you can download a list of your company's mobile devices and accessories from Corporate OmaElisa.

1. Log in to Corporate OmaElisa and select Company information in the menu at the top right-hand corner.

2. Select Reports.

3. Under the Device store heading, select Download report.

• As an administrator, you can add new administrators via Corporate OmaElisa (OmaElisa Classic). OmaElisa administrators are automatically given the role of an Approver when they log in to the new Corporate OmaElisa.
• The number of administrators is not limited, but it is generally not very high. In practice, EPP administrators are people who have the company’s OmaElisa credentials.

• More approvers can be added by notifying the customer service for corporate customers. Always report the first and last name, email address, phone number and business ID of the approver. Deleting or changing approvers is also accomplished through the customer service. The administrator's OmaElisa does not yet have a view for the approver role.
• Approvers are not given an administrator's rights, but only the role of an approver. Meanwhile, OmaElisa administrators are automatically given the role of an approver when they log in to the new Corporate OmaElisa.
• Customer service can be reached through chat on weekdays at 8am ‒ 4pm. At other times, you can contact us through yrityksille.elisa.fi/yhteystiedot.

• An employee who already has an Elisa mobile phone subscription does not need to be separately invited to Employee OmaElisa.
• If a new employee is starting with the company and they need a new mobile device and accessories, you can invite them to Employee OmaElisa even before they have a phone subscription through the company or a company email account. A phone subscription with another operator does not prevent the use of the device store. See instructions for invites below.
• Please note that the invite link must be sent from the business ID of the company where the employee works.

How to send an invitation to one or more employees?

1. Log in to Corporate OmaElisa as administrator.

2. Employees can be invited to Employee OmaElisa under Personal and company Information -> Invites.

3. Select SEND INVITE LINK.

4. Enter the email address(es) of the employee(s) in the field, or add them as a csv file.

5. Select CONFIRM.

6. The employee will receive a notification in their email that directs them to the Employee OmaElisa device store and asks them to register or log in. The employee is recognised as an employee only after receiving this invite, and the Store menu will then be visible to the employee.

7. The single-use invite link is valid for 14 days. You can monitor the status of the invites you have sent (active/expired/used) through the Invites to Employee OmaElisa view and re-send the links, if necessary.

8. If the employee has an employee's phone subscription in Elisa’s network, it can be added to Employee OmaElisa when the subscription is active in the My subscriptions menu -> ADD SUBSCRIPTION.

8. Once an employee has a company email address in use, they can change it in My information.

An EPP device can be transferred to another employee, for example, at the end of the first user's employment contract.

1. Log in to Corporate OmaElisa as administrator.

2. You can find the company's devices in My products and services -> Devices.

3. Select the device whose details you wish to edit.

4. Select IDENTIFIER

5. Select EDIT.

6. Edit the user information.

7. Select CONFIRM.

Note. If a previous user had an Oma Laitelasku invoicing service, as in the employee's share of the EPP device's cost, it must be deleted before the user can be changed. The deletion of Oma Laitelasku can be requested through the chat service in administrator's OmaElisa. When the employee's share of Oma Laitelasku is removed, the entire cost of the device must be paid by the company.

1. Log in to Corporate OmaElisa as administrator.

2. You can find your company's devices in My products and services -> Devices.

3. Select the device whose details you wish to edit.

4. Under the invoicing agreement heading, you can see the number of the current invoicing agreement (a 9-digit number). Select the Edit link next to it.

5. Select EDIT.

6. Edit the user information.

7. Select CONFIRM.

1. Log in to Corporate OmaElisa as administrator.

2. You can find the company's devices in My products and services -> Devices.

3. Select the device whose agreement you wish to terminate.

4. Select TERMINATE AGREEMENT and follow the instructions on the screen.

As an administrator, you can purchase the device in Corporate OmaElisa under Devices in My Products and services:

1. Search for the device by, for example, the user's name or serial number.

2. The device details will open after you have selected the device.

3. Select Purchase device. After you have selected the device, you will see its purchase price, without tax (VAT 0%).

4. Select CONFIRM.

5. You will receive a confirmation via email.

Purchase price

The current purchase price is shown in OmaElisa portals to both the administrator and the employee. The purchase process is described in the service description.

• An employees can purchase a device either at the end of the agreement period or during the agreement period. The purchased device will be paid for as a one-off charge.
• If an employee does not have an Oma Laitelasku invoice service in use, an Oma Laitelasku will be set up for them in connection with the purchase in Employee OmaElisa.
• Accessories cannot be purchased.

Purchase price

• Employees can see the real-time purchase price after selecting the "Device purchase" option in Employee OmaElisa. For the employee, the price includes value-added tax. This is the price they will also see on the invoice. The company's share will not be deducted from this sum, nor will taxes be added to it.

Approving redemption

When an employee seeks to redeem their device, they will send a redemption request. The redemption request can be approved by the administrator or a person included in the list of approvers, such as a supervisor. The approver will receive an email that contains a link leading directly to the redemption request. The requests are also available in Employee OmaElisa on the Requests for change tab under the Orders section. The administrator can see all redemption requests in the Order History section of Corporate OmaElisa.

If an employee's employment contract ends during the agreement period, and the employee has paid a part of the device through the Oma Laitelasku invoice service, the employee is obligated to purchase the device. If the employer terminates the employee’s employment contract or if the device remains with the company for some other reason, the costs of the device will be paid by the company.

1. Log in to Corporate OmaElisa as administrator.

2. You can find the company's devices in My products and services -> Devices.

3. Select the device you want to report as damaged or lost.

4. Select Lost or damaged device and follow the instructions.

1. Employees can see their devices when they are logged in to Employee OmaElisa by selecting the My devices menu on the front page .

2. Select the broken device. More device details (id number, service, amount of monthly fee) will be displayed.

3. Select Request support. This opens the Service Notification page.

4. The employee reads the brief instructions carefully before selecting NEXT.

If a company has not taken Employee OmaElisa into use, an employee can also make a service request through the Fault Notification Service for corporate customers, tel. +358 (0)10 804 400.

1. The company's administrator can see the devices when logged in at Devices (laitteet) -section.

2. Select the broken device to see more details (id number, service, amount of monthly fee).

3. Select Request support. This opens the Service Notification page.

4. Please read the brief instructions carefully before selecting NEXT.

• When an employee orders a device through Employee OmaElisa, the selected device will automatically include Damage Cover if the service has been enabled for the entire device list. Below, you can see the view of a device list with activated Damage Cover.
• In the administrator’s OmaElisa, the administrator can decide whether to include the Damage Cover Service specifically for each order. Below, you can see the basket and the additional cover section that can be used to give Damage Cover for a device.
• The insurance against damage is valid only if the device is protected all over, which means that the screen and cover must be protected. There are no more specific requirements.

Prices

• The Damage Cover Service Business Pro is for devices that cost less than €600. It costs €1.80 per device per month, and there is an excess of €30 per incident.
• Business Premium €2.30 per month per device, an excess of €50 per incident.

An employee only pays the excess cost of the most valuable devices or the purchase price of the device, if they wish to purchase the device. The company pays all other costs.

• No, if the company does not want to use the Oma Laitelasku invoice service and/or Employee OmaElisa. The administrator can order devices and accessories for employees without any device lists. If an order is placed by an administrator, an employee cannot participate in the costs of the device. This means that they cannot buy a better device by paying for a part of it or redeem the device.
• If a company wants their employees to order their own devices, the device list(s) must be created by the administrator. The entire device store will only be displayed to the employee once/if a device list(s) is created.
• We recommend that Employee OmaElisa be taken into use so that employees can see the selection of devices available. They can then use it to order their devices, edit their information and make service requests. In addition, a person can purchase a device for themselves through Employee OmaElisa.

You can copy an existing device list to another company you have administrative rights to.

No notification will be sent, but the product will be automatically removed from all device list it was included in.

Yes, if the administrator does not determine the company's payment share when creating the device list(s). In this case, the employee is also unable to pay any portion of the monthly fee for a device they order.

The duration of the agreement period must always be specified in the device list. Employees can only select the duration of the agreement period specified by the administrator in the device list. However, the administrator can create multiple device lists with agreement periods of different durations, and employees can select devices from device lists of their choice.

Always log out of OmaElisa as administrator before logging in to Employee OmaElisa. If necessary, contact Elisa's customer service for corporate customers via the administrator's OmaElisa chat.

To appear on the list of approvers, OmaElisa administrators must be logged in to the new OmaElisa. If this does not help, contact Elisa's customer service for corporate customers via the administrator’s OmaElisa chat.

The answer is yes. The address can be changed order-specifically to be, for example, the user’s work or home address.

• The number of devices per order cannot be limited.
• The approver can reject an order if it contains too many devices. If this happens, the employee must make a completely new order.
• The approver can also see the status of the user’s previous agreement. For example, the approver can see if the previous agreement is not yet expiring.

If an order has already been placed, it must be rejected, and the employee be asked to place a new order. If an order has not been placed yet, the administrator can delete a device from the device list.

The answer is yes. A device can be replaced with a new one through Employee OmaElisa or the administrator can do it through Corporate OmaElisa.

If a device has been ordered from a list that has been deleted, the order will remain in effect if it has been approved.

If the employee does not have online banking credentials or a Finnish social security number, no Elisa ID can be created. This means that the employee cannot use Employee OmaElisa or order devices with Oma Laitelasku. If this is the case, the administrator must order an EPP device for the employee from Corporate OmaElisa.

The answer is yes. If your company uses a device registration service (Apple DEP, Samsung KME or ZERO Touch), the administrator can choose by device whether the device enters the register. Please note that the device must be compatible with the device registration service and the company must have a reseller ID.

The prices in the public online store and in Corporate OmaElisa (the administrator's OmaElisa) are always exclusive of tax (VAT 0%). In Employee OmaElisa, the prices include tax (VAT 24%).

If you want to delete the user's Oma Laitelasku, as in the employee's share of the EPP device's cost, the administrator can request deletion through the OmaElisa chat service. When the employee's share of Oma Laitelasku is removed, the entire cost of the device must be paid by the company.

The user interface is in Finnish and English. So far, instructions are only available in Finnish.

The easiest way to see the information for your own device is by logging in to Employee OmaElisa. Remember to first log out of OmaElisa as administrator.
